Note

We are looking for an experienced and fast paced Executive Assistant for our clients creative and busy lifestyle, in Europe and world wide. You will be working with the founder and CEO of a very cool, luxury lifestyle company, looking after VIP clients and their business. You will organise the entire administrative aspect and more. You can expect to work within a vibrant, hard working, yet down to earth team of creatives and artists. You will be the face of the client when they are not around. You should be charismatic and a real chameleon to working and dealing different types of people.

Responsibilities

• Conserves executive’s time by reading, researching, and routing correspondence; drafting emails and documents; collecting and analysing information; and initiating meetings
• Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Welcomes guests and clients by greeting them, in person or on the telephone, and answering or directing inquiries.
• Prepares reports by collecting and analysing information.
• Represents the executive by attending meetings in the executive’s absence and speaking for the executive.
• Maintains customer confidence and protects operations by keeping information confidential.
• Completes projects by assigning work to clerical staff and following up on results.
• Secures information by completing database backups.
• Provides historical reference by developing and utilising filing and retrieval systems and recording meeting discussions.

Ideal Candidate

• Experience working as an EA/PA for a high profile VIP client
• Fluent English and additional languages beneficial
• Bachelor’s degree preferred, but not required
• Three to five years of administrative experience
• Three to five years of executive assistant experience
• Experience managing multiple calendars
• Experience booking travel
• Written and verbal communication skills
